Where Are Your 200 iPads? Retire the Spreadsheet to Modernise School Fixed Asset Tracking

Managing fixed assets in an educational institution presents a unique operational headache.

Unlike corporate environments where computers and office furniture stay relatively static, schools regularly acquire bulk shipments of laptops, lab equipment, and smartboards, then constantly redistribute them across multiple classrooms, departments, and campuses.

Standard accounting software typically tracks only an asset’s financial depreciation, omitting essential operational details such as campus location, room number, or custodian. As a result, finance teams must rely on fragile Excel shadow ledgers that are prone to human error, hard to reconcile, and rarely audit-ready.

Key takeaways

  • Schools hold thousands of assets across many buildings and campuses, but most finance systems only track depreciation, not location, custodian or quantity.
  • That gap is why so many school groups end up maintaining an Excel shadow ledger alongside the asset register.
  • Fixed asset management for schools works best when assets are created automatically from purchases, recorded at the quantity level, and tagged with location and custodian dimensions.
  • Infor SunSystems Cloud supports partial disposals, asset transfers and construction-in-progress capitalisation with a full audit trail back to the original invoice.

Why is fixed asset management harder for schools?

Most organisations buy assets occasionally and keep them in one place. Schools do the opposite. They buy laptops, tablets, smartboards and lab equipment in large batches, then move them constantly between classrooms, departments and campuses.

Standard accounting software was not designed for this. It tracks the financial side of an asset, its cost and depreciation, but it typically has no fields for campus, building, room or the employee responsible for it. So finance teams build a separate Excel shadow ledger to track where everything is. That shadow ledger is fragile, needs constant manual updates and is never fully in step with the depreciation schedule.

The result is an asset register that is always slightly out of date and rarely audit-ready.

The life of one bulk purchase

To see where standard systems fall short, and what changes when the finance system is built around how schools actually buy and use equipment, let’s take the procurement of 200 iPads for a new school program as an example. But here’s the catch. After a few months of use, five already have cracked screens, two are being used at a sister campus, and one travelled with a teacher to a conference in Kuala Lumpur and has not been seen since.

So at the end of the school year, the total is no longer “200 iPads”. Their life can be split into five stages, from the purchase order to the auditor’s year-end questions. At each stage, we look at where things usually break and how Infor SunSystems Cloud handles it instead.

Stage 1: Buying the iPads

In many schools, the purchase order, supplier invoice, and asset record are three separate tasks, often handled by three different people. Each handover is another chance for a typo or a missing reference.

With purchasing, ledger and fixed asset modules tightly integrated in SunSystems Cloud, asset creation is triggered automatically when a posted purchase invoice matches a capital account. Finance simply reviews the draft asset queue, confirms the depreciation start period and activates it. The cost, vendor details and invoice reference are carried over from the source transaction, with no double entry.

Stage 2: Recording 200 devices without 200 records

Here, standard systems force a choice. Either the whole batch becomes one asset record, making it impossible to write off a handful of damaged devices later, or a junior accountant spends days creating 200 individual records, creating plenty of room for error.

SunSystems Cloud avoids that trade-off by capturing the asset at the quantity level, so all 200 units sit in a single asset record.

Stage 3: Keeping track as devices move

This is where the shadow ledger usually starts. In SunSystems Cloud, the Unified Ledger extends into the fixed asset module through asset dimensions, so each asset record can carry up to 10 analysis dimensions, such as campus, building, floor, room, department and employee custodian.

When a teacher moves from the Penang campus to Singapore with a laptop, finance runs an Asset Transfer to update the relevant dimensions. When someone asks which smartboards are in the Science Block, Level 2, a manager can run an Infor Q&A report instead of opening a spreadsheet.

Stage 4: Writing off the damaged units

Back to the five cracked screens.

Because the iPads were recorded at quantity level, finance processes a partial disposal of the damaged units. The system calculates and removes the proportional acquisition value (e.g., 3/200 of the total for three devices) and adjusts the depreciation schedule automatically.

The remaining units are unaffected, and nobody has to recalculate anything by hand.

Stage 5: Answering the auditor

At year-end, an auditor asks for evidence behind the asset additions. Because every asset was created from a purchase invoice, auditors can drill from the asset register to the original invoice and approved purchase order in seconds. Year-end rollovers and mid-year partial disposals become routine processes rather than multi-day projects.

Across all five stages, the pattern is the same. When assets are created from purchasing, recorded at quantity level and tagged with where they are and who holds them, the shadow spreadsheet simply has nothing left to do.

Devices, however, are only part of a school’s asset base. Some of the largest and most complex assets are the buildings themselves.

What about new school buildings or renovations?

Not every asset arrives in a box.

When a school builds a new swimming pool or renovates its library over six months, costs arrive through many vendor invoices. Standard systems struggle to hold these in a work-in-progress (WIP) account and convert them into a depreciating asset once the project is complete. Finance ends up pulling invoices out of the P&L and manually posting a capitalisation journal, which breaks the audit trail back to the contractors.

In SunSystems Cloud, project invoices are coded to a WIP asset class with a depreciation method of “None”. When the project finishes, the Asset Capitalisation function converts the accumulated balance into a single active asset, with every contractor invoice still linked.

For TRG International, the most important fixed asset decision happens before go-live: which dimensions the school will track, and how they will be named and maintained. Campus, building, room and custodian sound obvious, but without agreed codes and a clear owner for keeping them current, the new register can drift just as the old spreadsheet did.

We recommend using the existing shadow ledger as the starting point for data migration rather than discarding it. It usually holds the best available record of where assets really are. Clean it, map it to the new dimensions, and then retire it for good.

FAQs

Why do schools end up with a shadow asset ledger? Because many finance systems only track cost and depreciation, finance teams keep a separate spreadsheet for location, custodian and condition.

Can one asset record hold many identical devices? Yes. In Infor SunSystems Cloud, assets can be recorded at quantity level and partially disposed of later, with the value adjusted proportionally.

How are construction projects capitalised? Costs are held in a non-depreciating WIP asset class and converted into an active asset when the project is complete, keeping every invoice linked.
