Bridging accounting standards

Key Challenge: Managing dual accounting standards while maintaining operational excellence.

Dusit Hotels and Resorts’ priorities are maintaining and sustaining efficient financial operations while upholding the highest security standards for both Dusit Le Palais Tu Hoa Hanoi and its sister property, Dusit Princess Moonrise Beach Resort Phu Quoc, which is currently using Infor SunSystems 6.3, Infor Query & Analysis 10.1, and Vietnam Accounting Standards (VAS) reports.

Additionally, being managed by a foreign entity presents a unique reporting challenge for the finance team at Dusit Le Palais Tu Hoa Hanoi.

They must record all financial transactions using the VAS Chart of Accounts (COA) for local compliance and to report to the Owner company. Simultaneously, the team must also follow the reporting guidelines of Dusit Hotels and Resorts for consolidated financial statements.

Generating accurate financial reports for both regulatory bodies is complex and time-consuming. It requires careful mapping of accounts, potential data transformation, and reconciliation to ensure the integrity and consistency of both sets of reports.

This necessitates a system and processes capable of handling two distinct accounting frameworks concurrently.

TRG International implemented a full rollout of Infor SunSystems, following the “Dusit SunSystems Core.” This standardisation across properties ensures a consistent platform for core financial processes.

Additionally, these new financial management solutions need to be able to integrate with the hotel’s property management and procurement systems to streamline the flow of data from operational functions directly into SunSystems.

TRG International is able to connect different platforms to automate data transfer, contributing to more consistent financial records. Moreover, the seamless integration also helps reduce manual intervention, minimise errors and allows the Finance team to focus on higher-value tasks like analysis and strategic planning, ultimately improving efficiency and financial performance.

Structured project implementation

The project followed Infor Deployment Method (Initiation, Elaboration, Construction, Transition, and Optimisation) for a structured and phased approach to ensure a well-implemented and stable system.

This minimises inconsistencies and potential errors during the setup and go-live phases.

Training provided by TRG consultants has enabled the Finance team to effectively use both SunSystems and Q&A and address common issues independently.

Dual chart of accounts solution

To resolve the issue of recording all financial transactions in compliance with two different regulations, VAS and Dusit Hotels and Resorts’ chart of accounts, TRG International comes up with the answer:

➤ Setting Dusit’s chart of accounts as an “Accounts Analysis Dimension”
➤ Each VAS chart of accounts code maps to a single Dusit’s chart of accounts code
➤ Vice versa, a single Dusit’s chart of accounts code can link to multiple VAS COA ones

This allows for:

Recording all financial transactions using the mandatory VAS chart of accounts code for local regulatory compliance.
Simultaneously categorising these transactions according to Dusit International’s chart of accounts code through the Accounts Analysis Dimension.
The one-to-one and one-to-many mapping between the two COAs ensures that data can be reported under both frameworks.

This requires precise and comprehensive mapping between the two charts of accounts to ensure the accuracy and reliability of parallel reporting.

Customised reports for enhanced flexibility

Infor Query & Analysis (Q&A) is an intuitive ad-hoc querying and reporting tool for SunSystems that enables both technical and non-technical professionals to utilise data 24/7. The solution can be added to Microsoft Excel, providing users with a familiar-looking interface to build their own reports, such as aged reports, P&L, and Balance Sheet reports.

By integrating with Excel, Infor Q&A provides fast and adaptable ways to exchange data in real time with SunSystems as well as drill down on balances at both summary and transaction levels, expand lines, and breakout reports.

TRG consultants developed customised data import and report templates for Infor Q&A, empowering the Finance team to process data however they seem fit, streamline workflows, and accelerate financial processes. Customised report templates are specifically VAS compliant, allowing the Finance team to generate reports in the required format.

Maintaining excellence

Since the implementation, the Finance team at Dusit Le Palais Tu Hoa Hanoi has seen a 90% reduction in manual data entry into SunSystems. With Infor Q&A, users can extract data directly from Excel workbooks without accessing SunSystems. Vice versa, users can prepare all necessary transactions in Excel, leveraging the powerful capabilities of Infor Q&A to import them into SunSystems in a single, seamless batch.

The setup has not only helped save time but also empower every Finance team member to be proficient in utilising both Infor SunSystems and Infor Q&A.
