However, this prestigious hospitality brand faced a serious issue with their legacy financial solution system. Mövenpick Hotel Mactan Island Cebu has entrusted all of its financial responsibilities to an outdated, no longer supported by the vendor software – Infor SunSystems version 4. ## The hidden risks of outdated systems Key Challenge: Relying on the legacy system put the hotel at risk in three critical areas. Risk #1 ### Lack of support and bug fixes When hotel users encounter bugs or glitches, there is no official channel to get help or receive patches, as the vendor no longer supports this version of the software. This can lead to workarounds, manual fixes, and significant wasted time for users trying to complete their tasks. Critical business processes could be halted indefinitely. Additionally, the system will not receive periodic updates to meet changing business needs or regulatory requirements, forcing users to rely on manual processes or external tools to fill the gaps, making their work less efficient and more prone to error. However, this transition also introduced a distinct set of challenges for both the Mövenpick Hotel Mactan Island Cebu finance team and the consultants at TRG International. ## Strategic solutions for a seamless transition ★ ### Bridging the procurement gap One of the unique complexities the TRG consultant team encountered with Mövenpick Hotel Mactan Island Cebu was their reliance on the Purchase Order (PO) module within their legacy SunSystems. The module was integral to the hotel’s daily operations. However, the agreed scope for their new SunSystems implementation did not include a new PO module, as Mövenpick plans to standardise on FutureLog as their long-term purchasing platform. This presented a critical challenge: the hotel faces a significant gap in their procurement capabilities during the transition. We recognised that implementing a full PO module in the new SunSystems would incur substantial costs for the client, only for it to become redundant once FutureLog was rolled out. Instead, we proposed a cost-effective and practical interim solution. The hotel would continue using their existing PO module in the legacy SunSystems 4. To ensure data continuity, TRG developed a customised Q&A template which facilitates the extraction of purchasing journal data from the legacy system using Q&A10 and seamlessly imports it into the new SunSystems using Q&A11. This approach bridges the transition period, ensuring uninterrupted procurement operations for the hotel, minimising unnecessary costs and system redundancy while solidifying TRG’s commitment to delivering tailored solutions that serve our clients’ best interests. ★ ### Tackling steep learning curves “Users repeatedly enquired about certain ‘old features’, which are no longer supported in the new system versions. The reaction is natural and understandable when the team moves on from established routines.” Thus, the steep learning curve is perhaps the most immediate and tangible issue for users. What once took minutes might now take hours as users relearn all the essential buttons, navigations, and workflows. Users will require significant time and resources for retraining, taking them away from their regular duties.
