## Overview

When the picturesque Radisson Blu Hotel Ha Long Bay transitioned to the global Radisson brand, the Finance team faced a terrifying deadline: their old system was flatlining, creating a five-day financial black hole, and staff had to learn a completely new platform while juggling daily operations.

The Hotel was delivered a modern, smart solution with an added “localised” touch that helped slash 90% of the Finance team’s manual entry time.

### Goals

- ✓ Migrate the property from a local system to follow the Group’s international operational and financial standards
- ✓ Overcome the “dual burden” challenge experienced by local end-users when adopting a new system
- ✓ Eliminate infrastructure headaches, guarantee zero downtime

## At a glance

The picturesque **Radisson Blu Hotel Ha Long Bay** (formerly Sea Stars Hotel Ha Long) officially transitioned to the prestigious Radisson Group brand on April 29, 2025. This transition resulted in the need for the hotel to adopt a more stringent international operational and financial standard set by the global hospitality leader.

The choice of the [Infor SunSystems Cloud](https://trginternational.com/solutions/infor-sunsystems-cloud/) financial management solution was a natural extension of a long-standing, successful partnership between the **Radisson Group** and **TRG International**. This project followed four prior, successful SunSystems implementations delivered by TRG across Vietnam:

- Radisson Blu Resort Phu Quoc (2018)
- Radisson Blu Resort Cam Ranh (2019)
- Radisson Hotel Da Nang (2022)
- Radisson Resort Phan Thiet (2025)

This proven track record cemented the Radisson Group’s confidence in TRG’s expertise in delivering financial performance and maintaining high security standards for their newest property.

## Navigating the dual burden of transition

Key Challenge: The move from a familiar, localised hotel system to an international brand standard presented significant operational hurdles for the Finance team.

### The Dual Burden

The core challenge was a dual burden on end-users. They were required to learn the new Infor SunSystems Cloud platform, a solution with a rich history spanning over 40 years, while simultaneously maintaining the high-volume workload of daily hotel operations.

Having been accustomed to legacy software and its interface, the adaptation period for the new system required an ample investment of time and effort, creating a risk of operational delays.

Furthermore, the brand transition date created a critical financial reporting requirement:

- ⚠️ **April transactions:** Reported to the Owner company.
- ⚠️ **May transactions (from May 1st):** Reported to both the Radisson Group and the Owner company.

Crucially, with the old financial system scheduled for decommissioning on April 25th, leaving the Finance team a five-day gap in recording transactions from April 26th to April 30th during the system cutover, which needed a swift and secure resolution.

## TRG’s strategy for the financial cutover period

To address the critical financial gap between April 26th and 30th, TRG’s consultant recommended two options:

### Option 1

**Temporarily recording transaction in Infor SunSystems**

- Record transactions from April 26th to April 30th in a newly created Business Unit (non-live) in Infor SunSystems
- Ensure data remains segregated and intact until official cutover on May 1st

RECOMMENDED

### Option 2

**Continue performing month-end closing in the legacy system**

- Avoid overwhelming end-users already focused on adapting to SunSystems
- Ensure a timely April closing without disruption
- Mitigate risks associated with system unfamiliarity

## Amplifying user adoption through localisation

Recognising the diverse skills of local staff and to accelerate adoption, TRG implemented substantial user interface and process enhancements:

## Key outcomes and business impact

★

### Strategic benefits delivered

### 1\. 90% reduction in manual entry

Hotel users can now prepare transactions entirely in familiar Excel workbooks and import them into SunSystems in a single, secure batch using Infor Query & Analysis 12 add-in. Only specific processes, like payment runs or generating reverse journals, are performed directly within the system.

### 2\. Cost-saving opportunities

The solution optimised the Hotel’s budget and infrastructure:

- **OpEx vs CapEx:** Transitioning to an OpEx model enhances budgetary predictability, eliminating unpredictable CapEx spikes caused by hardware refreshes.
- **Hardware Elimination:** The cloud platform removes the need for physical servers, maintenance expenses, and in-house IT management.

### 3\. Enhanced security and reliability

The cloud platform provided robust system assurance:

- **Data Integrity:** Robust cloud data management features eliminated concerns about data loss.
- **Automatic Updates:** Infor manages all software updates, ensuring the system is always current without manual IT intervention.
- **Zero Downtime:** Scheduled monthly system maintenance is performed at night (Vietnam time), eliminating downtime during peak hotel operation hours.
